ICO guidance says a privacy notice should clearly explain why you process personal data, how long you keep it, who you share it with, and what rights people have. ICO
6. Our Lawful Bases for Processing
Under UK data protection law, we rely on one or more of the following lawful bases:
Contract
Where processing is necessary to provide a class, event, or service you have booked.
Legitimate interests
Where processing is reasonably necessary for running ACM Capoeira effectively, such as managing attendance, responding to enquiries, improving services, or maintaining ordinary business records, provided those interests are not overridden by your rights.
Consent
Where we ask for your permission, such as for marketing messages or certain photography/video uses.
Legal obligation
Where we need to process data to comply with legal or regulatory responsibilities.
Explicit consent for health information where appropriate
Health information is special category data and requires extra protection. Where we collect health information to support safe participation, we may rely on explicit consent or another valid condition permitted by law, depending on the circumstances.
7. Health, Injury, and Medical Information
Capoeira is a physical activity. If you tell us about an injury, medical condition, allergy, disability, or other issue relevant to safe training, we will use that information only as needed to help manage your participation and safety.
We ask that you only provide health information that is relevant and necessary. Because health information is more sensitive under UK GDPR, it is given extra protection.
8. Children’s Data
If a participant is under 18, a parent or legal guardian must provide registration details, emergency contact details, and any required permissions on the child’s behalf unless we state otherwise.
We take extra care with children’s information and only collect what is reasonably necessary for participation, communication, safeguarding, and administration. ICO guidance says children merit specific protection in how their data is used.
9. Photos and Videos
We may take photographs or videos during classes, workshops, rodas, performances, or events.
These may be used for:
- social media;
- our website;
- posters or flyers;
- community updates;
- promotional material.
Where appropriate, we will seek consent or provide a clear opportunity to opt out, especially for close-up identifiable images and for children. If you would prefer not to appear in promotional media, please tell us before the session or event and we will do our best to respect your choice.
10. Marketing Communications
If you opt in, we may send you updates about classes, workshops, events, offers, or news by email or messaging platforms such as WhatsApp.
You can opt out of marketing at any time by:
- clicking unsubscribe where available; or
- contacting us directly and asking to be removed.
ICO guidance says individuals should be told about their right to withdraw consent where consent is the basis being used.
11. Sharing Your Data
We do not sell your personal data.
We may share your data only where necessary with:
- payment processors;
- website hosting or technical service providers;
- booking or communication platforms;
- coaches or staff who need the information for administration or safety;
- legal, safeguarding, or regulatory authorities where required.
Any sharing will be limited to what is necessary and handled in line with applicable law. ICO guidance says you should identify a lawful basis before sharing data.
12. WhatsApp and Third-Party Platforms
If you contact us through WhatsApp, Instagram, Facebook, or similar third-party platforms, your information may also be processed by those platform providers under their own privacy terms.
ACM Capoeira is not responsible for the privacy practices of third-party platforms, payment processors, or websites we do not control.
13. Cookies and Website Analytics
Our website may use cookies or similar technologies to:
- make the site work properly;
- understand website traffic and usage;
- improve the user experience.
You can control cookies through your browser settings. ICO guidance says privacy notices should explain cookie use in a clear and accessible way.
14. How Long We Keep Data
We keep personal data only for as long as reasonably necessary for the purposes described in this policy, including administration, record keeping, safeguarding, legal, tax, and insurance purposes.
As a general guide:
- enquiry data: up to 12 months after last contact;
- booking and attendance records: up to 6 years where relevant for business or legal records;
- health information provided for safety: only as long as reasonably necessary for the relevant purpose;
- marketing records: until you unsubscribe or withdraw consent;
- accident or incident records: as long as reasonably required for insurance, legal, or safeguarding purposes.
ICO guidance says that if you do not state an exact retention period, you should explain the criteria you use to decide how long information is kept.
15. Your Data Protection Rights
You may have the right to:
- request access to your personal data;
- ask us to correct inaccurate data;
- ask us to erase data in some circumstances;
- ask us to restrict processing in some circumstances;
- object to certain processing;
- withdraw consent where consent is the lawful basis;
- complain to the Information Commissioner’s Office (ICO).
To exercise any of these rights, contact us using the details above. ICO guidance says privacy notices should explain the rights available to individuals and how they can complain.
16. Complaints
If you are unhappy with how we handle your personal data, please contact us first so we can try to resolve the issue.
You also have the right to complain to the Information Commissioner’s Office (ICO).
17. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Any updates will be posted on this page with the revised date above.
Terms & Conditions
1. Acceptance of Terms
By booking, attending, or participating in any ACM Capoeira class, workshop, event, trial session, performance, or related activity, you agree to these Terms & Conditions and the Liability Waiver below.
If you are registering a child under 18, you confirm that you are the child’s parent or legal guardian and that you accept these terms on their behalf.
2. Eligibility to Participate
You are responsible for ensuring that you, or the participant you register, are fit to take part in capoeira and related physical activities.
You must tell ACM Capoeira before participating if there is any injury, illness, medical condition, pregnancy, physical limitation, or other issue that may affect safe participation.
We may refuse participation where we reasonably believe it would be unsafe.
3. Nature of Capoeira
Capoeira is a physical activity that may involve:
- movement drills;
- partner work;
- takedowns or sweeps;
- acrobatics;
- balance work;
- music and instrument practice;
- fitness and conditioning exercises.
Even when taught carefully and responsibly, participation carries a risk of injury including bumps, bruises, strains, sprains, falls, and more serious injury.
4. Participant Responsibilities
All participants must:
- follow the instructions of teachers and staff;
- train safely and respectfully;
- avoid reckless or dangerous behaviour;
- wear appropriate clothing and footwear where instructed;
- stop immediately if asked by a teacher for safety reasons;
- inform us promptly of any injury or concern arising during a class or event;
- treat other participants, instructors, staff, and venue personnel with respect.
ACM Capoeira may remove any participant from a class or event without refund where behaviour is unsafe, abusive, disruptive, or inappropriate.
5. Bookings and Payments
Bookings are subject to availability.
Payment terms for classes, courses, workshops, private sessions, and events will be shown at the point of booking or otherwise communicated in advance.
A booking is not guaranteed until payment has been received where payment is required in advance.
6. Cancellations and Refunds
Unless stated otherwise for a specific class, course, or event:
- if you cancel, refunds or transfers are at ACM Capoeira’s discretion unless required by law;
- if we cancel a session or event, you will be offered a refund, transfer, credit, or rescheduled place where appropriate;
- no refund is guaranteed for missed sessions, late arrival, change of mind, or failure to attend.
For workshops, special events, seminars, intensives, or bookings tied to a specific date, different cancellation rights may apply under UK consumer law.
You may wish to adapt this section further to match your real booking model, for example:
- “48 hours’ notice for normal class cancellations”;
- “no refunds within 7 days of a workshop”;
- “course blocks are non-refundable once started”.
7. Timetable, Teachers, and Venue Changes
ACM Capoeira may change:
- class times;
- instructors;
- venues;
- course structure;
- event details
where reasonably necessary. We will try to give notice where possible, but this may not always be feasible.
8. Personal Property
You bring personal belongings to classes and events at your own risk.
ACM Capoeira is not responsible for loss, theft, or damage to personal property unless caused by our proven negligence.
9. Photography and Media
By attending public classes, workshops, rodas, or events, you understand that photography or filming may take place. Where required, permissions will be sought separately, especially for children or for promotional use of identifiable close-up images.
If you do not wish to be photographed or filmed, you should tell us before the session begins.
10. Conduct and Community Standards
ACM Capoeira aims to maintain a welcoming, respectful environment.
We do not tolerate:
- abusive language;
- harassment;
- bullying;
- discrimination;
- intimidation;
- dangerous conduct;
- deliberate disregard of safety instructions.
We reserve the right to refuse entry, suspend participation, or terminate attendance without refund where this standard is breached.
11. Safeguarding
Where children or vulnerable adults are involved, parents, guardians, staff, and participants must comply with any safeguarding arrangements communicated by ACM Capoeira.
Parents or guardians remain responsible for children outside the times and conditions in which direct supervision has been expressly agreed.
12. Insurance
ACM Capoeira may maintain appropriate insurance as part of operating its activities, but participants remain responsible for deciding whether they require any personal accident, travel, event, or medical insurance of their own.
13. Governing Law
These Terms & Conditions are governed by the laws of England and Wales, unless another UK jurisdiction is expressly stated.
Liability Waiver

If I am signing on behalf of a child or dependent participant, I confirm that I am authorised to do so and accept these terms on their behalf.
